PTA Executive Board Committees and What They Do

Executive Board Role Descriptions: 

Time commitment for positions vary based on responsibilities as well as time of year. For most positions, there is flexibility on time commitment. For more details on the average time commitment for a specific position, please reach out to PTA Co-Presidents at ps116ptamembership@gmail.com.

 

All Positions - PTA Meetings

  • Attend Executive Board and General PTA meetings to best of their ability


Co-Presidents - 2 Positions 

  • Preside at all meetings of the association

  • Provide leadership for all members

  • Act as liaison between all parents and administration when needed

  • Attend monthly meetings of School Leadership Team

  • Attend monthly Safety Committee meetings

  • Attend quarterly 116 Kids meetings

  • Act as representative to region/district Presidents’ Council (and attend monthly meeting) 

  • Be a signatory on all checks and PTA bank accounts

  • Attend weekly meetings w/ Administration, prepare and discuss any parent or community concerns

  • Request permits for all PTA meetings/events

  • Fill in where needed as a volunteer at all events

  • Create various letters and communications to the school

  • Monitor all PTA email and mail and distribute as necessary

  
Treasurer or Co-Treasurers - 2 Positions  

  • Create and chair budget committee

  • Maintain record of income and expenditures

  • Provide financial reports

  • Assist in preparing tax reports

  • Act as signatory on PTA bank accounts 

 

Co-Financial Secretaries - 2 Positions 

  • Assist Treasurer with administrative tracking of income and expenses for PTA

  • Assist with tax returns

  • Deposit of all funds into PTA bank account

  • Distribute receipts for all donations

 

Recording Secretaries - 2 Positions

  • Take minutes at PTA Executive Board and General meetings and translate as necessary

  • Get approval from Co-Presidents on minutes and distribute to Executive Board
     

Vice President or Co-Vice Presidents of Communications - 2 Positions

  • Create and distribute a calendar of events and distribute agendas for PTA meetings

  • Assist in design of flyers and distribute all notices (email or paper) of all PTA related information

  • Create and maintain the PTA membership database (Mailchimp)

  • Maintain PTA Social Media Accounts (Facebook, Instagram, X)

  • Maintain PTA website

 

Vice President or Co-Vice Presidents of Fundraising - 2 Positions

  • Primarily responsible for fundraising efforts, including the Annual Appeal and Spring Auction

  • Draft Annual Appeal letter and coordinate distribution to families with support from PTA Co-Presidents, VPs of Communications, and School Leadership

  • Create and chair a committee to run the Spring Auction, including but not limited to overseeing graphic design of posters/invites/save-the-dates, ordering and sending all invites, communications, donation solicitation, event planning and online auction.

  • Manage School Store, including sourcing inventory and coordinating sales

 

Vice President or Co-Vice Presidents of Community Building - 2 Positions

  • Lead planning and production of events to bring PS116 community together including: Halloween Bash, Multicultural Potluck, Movie Night, Winter Festival, and Spring Fair

  • Organize welcoming events for all families and for incoming Pre-K and K families as well as Grown Ups Nights Out

  • Organize Team116 Appreciation lunches in December and June

 

Vice President or Co-Vice Presidents of Education, Recreation, and Welfare - 2 Positions

  • Lead planning and production of Picture Day, Book Fair, Read-a-thon, and Author Visits

  • Act as primary contact for PTA with outside vendors for Picture Day, Book Fair, and Author Visits

 

Vice President of Market & Garden Committee - 1 position

  • Arrange and assure that the garden components are taken care of, that plants are watered, and that the garden is cleaned up regularly

  • Coordinate summer care of garden

  • Recruit help from school community and the larger community

  • Liaison with school staff regarding garden care, safety issues, and supply issues

  • Liaison to the PS116 Farmer’s Market - includes filing for permits, collecting fees, advertising and suggesting improvements
     

Vice President or Co-Vice Presidents for Community Relations - 2 Positions

  • Under the direction of Team116, support efforts to distribute donated goods to community members in need by managing volunteers and implementing donation drives. 

  • Represent PS 116 PTA at community meetings and report back community affairs

  • Provide updates and/or schedule of community meetings to share with PTA and School community, including: Community Board 6, D2 and D4 Councilmembers, Build-a-Block for relevant NYPD Precincts, Manhattan Borough President’s Office, Board of Elections, CEC, PEP  

  • Assist Co-Presidents in identifying funding sources from community groups and city elected officials and in soliciting groups to assist with school projects/concerns

  • As needed: assist School Leadership and Co-Presidents in advocating with electeds and city agencies to make progress on capital projects, maintenance projects, or needs for the school

 

116Kids Liaison - 1 position  

  • Represents PS116 PTA on the Board of 116 Kids

  • Attends quarterly 116Kids Board meetings

  • Provides regular reports on 116Kids activities and operations to Executive Board and General Membership

 

Parent-at-Large: Class Parent Liaison - 1 position

  • Supports timely and effective communication between the PTA and Class Parents

  • Facilitate collection of class contact lists for PTA mailing list

  • Maintains an annual calendar for and drafts class parent emails with the input of VP of Communications, Co-Presidents, and relevant Executive Board members to ensure all classes receive consistent information regarding PTA activities, upcoming events, and other items of interest to the PS116 community

 

Parents-at-Large - 4 positions, 2 roles held for New Families 

  • For incoming Pre-K and Kindergarten families, they will assist one or more standing committees and basically “get their feet wet” by coming to meetings and volunteering for as many things as they can

  • Serve as a member on one or more of the standing committee and volunteers at PTA events

 

Vice President or Co-Vice Presidents of 5th Grade Activities - 2 positions

  • Liaise between Executive Board and 5th grade families to support the coordination of 5th grade activities, including 5th Grade Graduation party

  • Help allocate how PTA funds designated to 5th Grade Activities are used and communicates to families accordingly

  • Create and lead Yearbook committee

  • Leads organizing bake sales and planning concessions for Election Day and other PTA events
